Everything is going online, including the sensitive documents and data that law firms handle every day. And with stories surfacing every few weeks about new hacks of supposedly secure data, it’s entirely appropriate to have concerns about what an online security breach could do to your practice.
Clearly, we can’t turn back the clock. Working online is now a necessity. So, what can you do to provide the higher level of safety for your online data?
You can do something that is really simple and extremely effective. And you can do it now. You can start using “2FA”.
“2FA” is shorthand for “Two Factor Authentication”, and it is rapidly becoming the new standard for online security. You’ve probably already encountered it. 2FA happens when an online service, like a bank, asks you to provide a cell phone number that they can use to automatically send you a text message with a “2nd authentication” (typically a 5 to 8 character code) that you’ll need to input along with your normal username and password when you log in.
Two Factor Authentication works, and it works really well, because while a hacker might be able to grab your password or phone number off a server, they’re not also going to be able to literally lift your cell phone out of your pocket. Not only that, the 2nd authentication piece, that few character code, is generated on the fly (not sitting in a database waiting to be hacked) and is only valid for a few minutes.
If you haven’t already started using 2FA, you’d be well advised to start now. We all have cell phones, and the codes work fast. In most cases, by the time you look at your phone, you’ll see the text message there waiting for you with the 2nd code.
Many online services now offer 2FA, and if you want to get vastly improved protection for your critical data, you should use “2FA-enabled” vendors across the board. All you need to do is enable 2FA security in the application, add your cell number and now you will have instantly enhanced online security.
